Who we are
Apache Ember is an emerging literary journal published by Apache College Press. Our website address is: https://apacheember.com.
Submissions
When submitting work for consideration, we collect the data entered for each item on the form. We use personally identifiable information (PII) such as names and email addresses during the reading, selection, and publication phases to communicate with authors and artists. The PII we collect is only what an author or artist provides on the submission form. Only the names and bios of those selected become public once the issue is published. We do not provide addresses, phone numbers, or emails to anyone outside Apache Ember staff without permission.
When providing high-level updates to the editorial board, administration, college staff, Tribal Council, possible funders, etc., we anonymize and disaggregate submission information. For example, in an update to our board we may write, "we received X total submissions for our first issue, of which Y% was poetry."
We never sell your information.
Media
If you upload images as part of your submission, avoid including embedded location data (EXIF GPS). Since selected works may be published on our website as part of the latest issue, website visitors can download and extract any location data from the images. Unless the embedded location data is critical to reading or viewing your work, remove it. This is especially important if images depict family, culturally significant sites, plants, etc.

What information do we collect?
We collect a visitor’s IP address and browser user agent string to help with spam detection. If you submit work for consideration, we collect the data mentioned in that earlier section. This includes name, email, phone, address, Tribal affiliation (if applicable), bio, and other information about your submission.
If purchasing through our online shop, we request your mailing address. We never have access to your payment information, which is processed through a third-party payment processing company (WooCommerce and/or Square).
How do we use your information?
Information you provide on the submission form is anonymized and disaggregated for high-level reporting as indicated in the Submissions section above.
If your work has been selected for publication, your name and bio will be used in the print issue and may be featured on our website. We use your mailing address to send you a copy of the issue in which your work was published.
If you purchase through our online shop, we use your mailing address to send your item.
We will not sell, exchange, transfer, or give your information to any other company for any reason without your consent, other than to deliver the product or service you requested.

If submitting work for consideration, editorial staff will only use personal data to communicate during the submission, selection, and publication phases. After publication we may reach out with additional opportunities and calls for submission.

If you have submitted work for consideration, you can request an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
